Category 2: Identity Documents

Aadhaar Card

Your original Aadhaar card. The name on Aadhaar should match (or be reasonably consistent with) the name on your academic documents and your TCS offer letter. If there is a significant discrepancy, update your Aadhaar before joining or carry a supporting document explaining the difference.

The Aadhaar number is used for various TCS administrative processes. Memorize or note down your Aadhaar number separately in case you need to fill it into forms during orientation.

PAN Card

Your original PAN (Permanent Account Number) card. PAN is mandatory for salary processing and tax deductions. Without PAN, TCS may deduct TDS at a higher rate.

If you do not have a PAN card, apply for one immediately. The application process takes two to three weeks through NSDL or UTIITSL. Category 3: Photographs

Photograph specifications are surprisingly strict, and many freshers fail this requirement despite it being the simplest to prepare.

Specifications

You need a minimum of 10 passport-sized photographs. Some alumni recommend carrying 15 to be safe, as photographs are used for multiple purposes during ILP (documentation, ID badge, various forms).

The photographs must meet these specifications: formal attire (collared shirt, blazer, or professional clothing), white background (not cream, not light blue, white), face and shoulders clearly visible, no accessories that obscure the face (sunglasses, hats), recent photographs (within the last six months).

A critical specification that many freshers miss: do not wear white clothes against the white background. White shirt on white background creates a washed-out photograph that is rejected during verification. Wear a colored shirt or blazer for the photograph.

How to Prepare

Service Agreement (SA)

The service agreement is the employment bond document between you and TCS. It commits you to serving TCS for a specified period (typically one to two years from the date of joining) and specifies the bond amount payable if you leave before the bond period expires. The bond amount varies by cadre and batch but has historically been in the range of 50,000 to 75,000 INR for Ninja and higher for Digital.

Preparation: TCS provides the service agreement format, either as a downloadable template on the NextStep portal or as an attachment in your joining communication. Download the template well in advance. Read it carefully to understand the terms you are agreeing to, including the bond period duration, the bond amount, the conditions under which the bond applies, and any exceptions.

Print the agreement on stamp paper of the value specified in the instructions. The required stamp paper value varies by state. For example, stamp paper of 100 INR denomination may be required in one state while 200 INR may be required in another. Your joining letter or the NextStep portal typically specifies the required denomination for your state. Stamp paper is available at sub-registrar offices, authorized stamp vendors (often found near court complexes), and some large stationery shops.

Fill in your personal details in all designated fields: full name (exactly as it appears on your academic documents), father’s or guardian’s name, date of birth, residential address, and any other fields the template requires. Sign the document in the designated signature fields. If the template requires a witness signature, have a family member or any other adult sign as witness.

Notarization: In most recent batches, the service agreement does NOT need to be notarized. However, this policy has varied across batches and years. Some older batches required notarization. Check your specific joining letter for explicit instructions. The safest approach is to follow your joining letter exactly: if it says notarize, notarize. If it says no notarization required, do not notarize (doing so unnecessarily is not harmful but wastes money and time).

Common issues reported by alumni: Using the wrong stamp paper denomination is the most frequent SA problem. Double-check the required denomination before purchasing. Another issue is incomplete filling: leaving blank fields that the template expects to be filled in. Go through every field in the template and fill in all required information. A third issue is printing on regular paper instead of stamp paper. The service agreement must be printed on or attached to stamp paper, not on regular printer paper.

Non-Criminal Affidavit (NCA)

The non-criminal affidavit is a legal declaration stating that you have no criminal record, no criminal proceedings pending against you, and that you have not been convicted of any offense by any court of law.

Preparation: TCS may provide a format for the NCA in your joining documentation package. If a format is provided, use it exactly. If no format is provided, use the standard NCA format which includes: your full name and address, a declaration that you have not been arrested, prosecuted, or convicted of any criminal offense, a declaration that no criminal case is pending against you in any court, and a declaration that you will inform TCS immediately if any criminal proceedings are initiated against you in the future.

The affidavit should be drafted on plain paper (not stamp paper, unless your joining letter specifically requires stamp paper for the NCA). Type or neatly handwrite the content. Include the date and leave space for your signature and the notary’s stamp.

Notarization: The NCA MUST be notarized. This is consistent across all batches that alumni have reported on. Visit a notary public with the completed affidavit and a valid ID proof (Aadhaar card is sufficient). The notary will verify your identity, watch you sign the document, and then stamp, sign, and date the affidavit. Keep the notarized original for submission and take a photo of it for your records.

Cost: Notarization fee for the NCA is typically 50 to 200 INR. Notaries near court complexes in smaller towns tend to charge less than those in IT corridors near ILP centers.

Medical Certificate (MC)

The medical certificate is a declaration by a registered medical practitioner that you are medically fit for employment at TCS.

Preparation: Schedule an appointment with a registered doctor (MBBS or higher qualification) at least two weeks before your joining date. The doctor conducts a basic physical examination: measurement of height and weight, blood pressure reading, visual acuity check, hearing assessment, and a general physical examination. Based on the findings, the doctor issues a certificate declaring your fitness for employment.

The certificate should include: the doctor’s full name and medical registration number, the name and address of the clinic or hospital, the date of examination, a statement that you have been examined and found medically fit for employment, and the doctor’s signature and official stamp.

Some TCS batches provide a specific medical certificate format that includes additional fields (blood group, vision details, specific health declarations). If your joining letter includes a specific format, print it and take it to the doctor to fill in. If no specific format is provided, a standard fitness certificate from a registered practitioner is sufficient.

Cost: A medical examination and certificate from a general practitioner typically costs 200 to 500 INR. Government hospital doctors may issue it for less. Specialist doctors may charge more. You do not need a specialist for this certificate unless you have a pre-existing condition that requires specialist documentation.

The medical examination is a formality for most healthy freshers. If you have a pre-existing medical condition (diabetes, asthma, vision impairment, thyroid condition, or any chronic illness), declare it honestly. TCS does not reject candidates for manageable health conditions. However, undeclared conditions that are discovered later can create complications with medical insurance claims and workplace accommodations. Honesty during the medical certification process protects you in the long run.

If you wear glasses or contact lenses, mention this during the examination. The doctor will note your corrected vision, which is the relevant metric for fitness assessment.

Education Gap Affidavit (If Applicable)

If there is any gap in your educational timeline, specifically a gap of one year or more between any two consecutive educational qualifications, you need an education gap affidavit. This is more common than many freshers realize.

Common gap scenarios: a gap year between 12th and B.Tech admission, a gap between B.Tech completion and M.Tech admission, a year lost due to educational transfers or repeating a year.

Preparation: The affidavit declares the period of the gap, the reason for the gap (preparation for entrance exams, personal reasons, family circumstances), and that you were not employed or engaged in any other educational program during the gap (or if you were, declare what you were doing).

Notarization: The education gap affidavit MUST be notarized.

Birth Certificate Affidavit (If Applicable)

If your date of birth is inconsistent across documents or if your original birth certificate is unavailable, you may need a birth certificate affidavit.

Preparation: The affidavit declares your date of birth, states that the DOB is consistent with your 10th standard certificate (which TCS typically accepts as the primary DOB reference), and addresses any discrepancies across documents.

Notarization: If required, this affidavit MUST be notarized.

Experience Letter or Release Letter

Bank Account Details

You need your savings bank account number, the bank branch name, and the IFSC code. If you do not have a bank account with a suitable bank, open one before your joining date. SBI, HDFC, ICICI, and Axis Bank are widely used by TCS employees.

TCS credits your salary to the account you specify in Ultimatix. Ensure the account is active, has no restrictions, and is in your name. Joint accounts may cause complications with salary processing.

Carry a cancelled cheque or a bank passbook front page as verification of your account details. This is useful when entering the details in Ultimatix to ensure accuracy.

These are not always mandatory but are recommended by alumni based on their ILP experience.

NSR (National Skills Registry) Printout

Some batches require candidates to register on the National Skills Registry portal and carry a printout of their registration. Check your joining communication for NSR instructions.

CID Form

The Candidate Information Declaration form may be provided by TCS as part of the joining documentation package. If provided, fill it out completely and carry it.

Address Proof
