The TCS ILP accommodation rules are the framework that governs your living situation for three months, and understanding them before arrival prevents the friction, confusion, and occasionally serious consequences that come from violating policies you did not know existed. Past associates consistently report that the associates who read the rules before arriving spend their ILP focused on training and friendships, while those who learn the rules through violations spend their ILP navigating warnings, explanations, and the stress of corrective measures.
TCS Accommodation Rules and Policies - Everything You Need to Know
This guide covers every significant rule and policy governing TCS ILP accommodation across all cities. The rules are largely consistent across the TCS ILP network, but city-specific variations exist (particularly for Gujarat’s dry state policy and for centers with different accommodation providers). Where city-specific differences apply, they are noted.
For the complete accommodation details for each city, read the TCS Accommodation Complete Guide. For recruitment preparation, use the TCS NQT Preparation Guide on ReportMedic. For ILP training preparation, use the TCS ILP Preparation Guide.
The Accommodation Model: Residential vs Non-Residential
Residential ILP
If your ILP location is different from your base branch, TCS provides accommodation (residential ILP). The key characteristics:
TCS arranges the accommodation. You are assigned to a hostel, apartment complex, or hotel that TCS has contracted. You do not choose the specific building or room.
Accommodation cost is deducted from salary. The deduction is from your HRA (House Rent Allowance) component. The typical deduction ranges from Rs. 2,500 to Rs. 5,000 per month, depending on the city and the accommodation type. This deduction happens regardless of whether you actually use the accommodation. If you have “Line 1” in your joining letter (indicating residential ILP), the HRA deduction is mandatory even if you choose to stay elsewhere.
Accommodation is mandatory. For residential ILP associates (Line 1 in joining letter), staying in the TCS-provided accommodation is mandatory. Opting out requires explicit permission from the ILP coordinator, which is rarely granted without a strong and genuine reason (medical condition, spouse in the same city, local family residence). Even if permission is granted to stay outside, the HRA deduction continues.
Duration: Accommodation is provided for the ILP duration only (typically three months). After ILP completion, when you report to your base branch, TCS does not provide accommodation. The remaining nine months of the ASE-Trainee designation (total one year) are self-arranged.
Non-Residential ILP
If your ILP location is the same as your base branch (pre-mapped), the ILP is non-residential:
No TCS-provided accommodation. You arrange your own PG, hostel, or flat.
No accommodation deduction. Your full HRA remains in your salary, partially offsetting the self-arranged accommodation cost.
Full independence and responsibility. You choose your neighborhood, food, commute, and lifestyle, but you also bear the full cost and logistics of housing.
The Pre-Joining Communication
TCS communicates the accommodation details approximately one week before the joining date via email. The email includes the accommodation address, contact numbers for the accommodation admin team, and any specific instructions for check-in. If you do not receive this email five days before joining, contact the ILP coordinator or the email address provided in your joining letter.
The Accommodation Deduction: How It Works
The Deduction Structure
The accommodation deduction is taken from the HRA component of your salary. The typical monthly deduction:
| City Category | Approximate Monthly Deduction |
|---|---|
| Metro cities (Chennai, Hyderabad, Kolkata, Pune) | Rs. 3,500 - Rs. 5,000 |
| Tier-1 cities (Ahmedabad/Gandhinagar, Noida) | Rs. 3,000 - Rs. 4,500 |
| Tier-2 cities (Bhubaneswar, Guwahati, Coimbatore, etc.) | Rs. 2,500 - Rs. 4,000 |
The exact deduction amount varies by city, by accommodation type, and by the specific contract TCS has with the accommodation provider. The deduction is communicated during induction and appears on your salary slip from the first or second month.
When the Deduction Starts and Stops
The deduction typically starts from the joining date and continues for the ILP duration. It may appear on the salary slip with a one to two month delay (the first month’s deduction appearing on the second or third month’s salary slip).
After ILP completion, the accommodation deduction stops. If you overpay (due to the delay in salary processing), the excess is refunded in subsequent salary cycles.
The Line 1 Controversy
Associates with “Line 1” in their joining letter (indicating residential ILP with accommodation provided) face the HRA deduction regardless of their personal accommodation choice. This means:
If you have Line 1 and choose to stay with relatives or friends in the ILP city instead of using the TCS accommodation, you still pay the deduction. This is a frequently contested policy, and past associates have debated it extensively on forums and social media. The TCS position is that the accommodation is a facility provided to you, and the cost recovery applies whether you use it or not.
The practical advice: if you have Line 1, use the TCS-provided accommodation. You are paying for it regardless, and the TCS accommodation provides the proximity to campus, the batch community, and the structured living environment that contribute positively to the ILP experience.
For the detailed financial breakdown including salary, deductions, and take-home calculations, read TCS ILP Salary, Accommodation, and Deductions.
Dress Code Policy
The Standard
TCS enforces a formal dress code during all ILP working hours (training sessions, assessments, presentations, and any campus activity during official hours). The dress code is not a guideline; it is a policy with enforcement:
For men: Formal full-sleeve or half-sleeve shirts (light colors preferred), formal trousers (dark colors), leather shoes (polished), formal belt, and socks. Tie is required at some centers (particularly Trivandrum) during specific sessions.
For women: Salwar kameez, formal kurta with trousers, or Western formal wear (blouse with formal trousers or professional dress). Conservative colors and cuts. Closed-toe shoes or formal sandals.
Prohibited during work hours: Jeans, T-shirts, casual shirts, sports shoes, sandals (for men), sleeveless tops, shorts, and any clothing that the ILP coordinator considers too casual or inappropriate for a professional environment.
Enforcement Variations by City
Trivandrum: The strictest. Ties may be mandatory. Shoe polish checks happen. Associates who violate the dress code are sent back to change and marked late.
Chennai and Hyderabad: Standard enforcement. Spot checks periodically. Warnings for first violations, escalation for repeated violations.
Gandhinagar, Guwahati, Bhubaneswar: Standard enforcement with some latitude for climate (half-sleeves universally accepted in hot cities).
All cities during assessments and presentations: Full formal enforcement regardless of the center’s normal latitude.
Dress Code Exceptions
Casual Fridays: Some ILP centers allow “smart casual” on Fridays (neat jeans with a collared T-shirt or polo shirt). This policy varies by center and by batch. Confirm with the ILP coordinator during the first week. Even on casual Fridays, sports wear, shorts, and sleeveless tops are not permitted.
Cultural events and celebrations: During batch celebrations, cultural events, or festival days at the accommodation, casual and traditional wear is appropriate. On campus, the formal dress code applies even during cultural events unless specifically announced otherwise.
Physical training sessions: Some ILP centers include physical training or sports sessions. For these specific sessions, sports wear is permitted. Carry sports shoes and comfortable athletic clothing for these occasions.
The ID Card Rule
TCS-issued ID cards must be worn visibly at all times on campus. Entry to the campus without an ID card may be denied. The ID card is your primary identity document within TCS premises and is required for:
Entering the campus gate, accessing the training labs, using the canteen (at some centers), and any interaction with TCS administration. Losing your ID card requires an immediate report to administration and a replacement process that can take several days.
Alcohol and Substance Policies
The Universal Prohibition at Accommodation
Alcohol consumption is prohibited at all TCS accommodation across all cities. This applies to:
All rooms, common areas, balconies, and building premises of TCS-provided accommodation. The prohibition applies regardless of the state’s legal stance on alcohol. Even in states where alcohol is legally available (Maharashtra, Tamil Nadu, West Bengal, etc.), the TCS accommodation is a dry zone.
Consequences of violation: Warnings for first offenses, escalation to ILP coordinator for repeated violations, and in serious cases (intoxication on campus, disruptive behavior related to alcohol), termination from ILP.
The Gujarat Dry State Policy (Gandhinagar, Ahmedabad, Vadodara)
In Gujarat, the prohibition is both a TCS policy and a state law. Alcohol is legally banned throughout Gujarat. There are no bars, liquor shops, or legal alcohol retail points anywhere in the state.
Legal consequences: Possessing, consuming, or transporting alcohol in Gujarat is a criminal offense under the Gujarat Prohibition Act. The legal consequences can include fines and imprisonment. TCS associates who violate this law also face TCS disciplinary action, which may include termination.
The practical reality: The nearest legal alcohol for Gujarat-based associates is in the union territory of Daman (approximately 350 km from Gandhinagar) or in Rajasthan (approximately 250 km to Mount Abu). Weekend trips to these destinations are popular partly for this reason.
For the complete Gujarat accommodation guide: TCS Accommodation Ahmedabad.
Smoking Policy
Smoking is prohibited inside accommodation rooms, common areas, and on TCS campus. Some accommodation complexes designate outdoor smoking areas. Smoking-related fire safety violations (ash on bedding, cigarette burns) are taken seriously.
Drug Policy
Any illegal substance use is a zero-tolerance offense. Detection results in immediate termination from TCS and potential criminal charges. This policy is absolute and non-negotiable.
Curfew and Gate Timing
Standard Curfew
Most TCS accommodations have a curfew or gate closure time, typically between 10:00 p.m. and 10:30 p.m. on weekday nights. The specific timing varies by city and by accommodation provider:
Trivandrum (Peepul Park, Executive Hostel): Among the strictest. Curfew enforced with attendance records.
Gandhinagar (Infocity Studio Apartments): Strict curfew due to the controlled-access nature of the Infocity township.
Gandhinagar (Vedika Happy Valley): Slightly more relaxed than Infocity, but gate security monitors entry and exit.
Guwahati (Universal Ecogreens): Gated community with gate timing protocols.
Other cities: Standard curfew with varying enforcement intensity.
Weekend Timing
Weekend gate timings are typically extended (to 11:00 p.m. or midnight) at most accommodations. Some accommodations are more flexible on weekends than weekdays.
Late Return
Returning after the curfew requires coordination with gate security. At stricter accommodations, late returns are logged and reported to the TCS administration. Repeated late returns can result in warnings from the ILP coordinator.
Overnight Absence
Overnight absence from the accommodation (for weekend trips, family visits, etc.) typically requires informing the accommodation admin or the ILP coordinator. At stricter centers, a leave application through the ILP portal may be required.
Guest and Visitor Policies
General Rule
External visitors are restricted at all TCS accommodations. The specific restrictions vary:
Infocity Studio Apartments (Gandhinagar): The most restricted. External visitors are generally not allowed inside the residential area. Meeting visitors requires going to the Infocity common areas or outside the campus.
Vedika Happy Valley (Gandhinagar): Visitors can enter with gate registration but are not permitted in the residential rooms after gate closure timing.
Guwahati, Bhubaneswar, other centers: Visitor registration at the gate. Room visits during daytime hours may be permitted with registration. Post-curfew visitors are not permitted.
Parents and Family
Parents visiting the ILP city can typically meet associates at the accommodation during daytime hours with gate registration. Overnight stays for parents or family members at the TCS-provided accommodation are not permitted. Parents and family must arrange their own accommodation (hotels, guest houses) in the city.
Opposite Gender Visitors
Opposite-gender visitors in residential rooms are prohibited at all TCS accommodations. This rule is enforced regardless of the relationship (siblings, friends, colleagues from another batch). Meeting points for cross-gender socializing are the common areas, the campus, and external locations.
Cooking Policy
The Universal Prohibition
Cooking is prohibited in all TCS-provided accommodation. The prohibition covers:
Cooking appliances: Induction cooktops, gas stoves, electric heaters, and hot plates are not permitted. These are confiscated if found during room checks.
Electric kettles: Officially prohibited but widely tolerated at many accommodations for making tea and coffee. The risk is a warning if the accommodation is strict, and confiscation if the administration conducts a room inspection.
The kitchen area: Many TCS accommodations (particularly the apartment-style units at Vedika, Universal Ecogreens, etc.) have a kitchen area in the flat. This area is for washing and storage only. Cooking in the provided kitchen is not permitted even though the physical infrastructure exists.
The Reasoning
The cooking prohibition is primarily about fire safety and building insurance. Cooking in residential buildings without proper kitchen ventilation and fire suppression creates fire risks that the accommodation provider’s insurance does not cover. The prohibition also maintains cleanliness standards (cooking generates grease, smoke, and food waste that affect the shared living environment).
The Practical Impact
The cooking prohibition means that all meals must come from: the TCS campus canteen, nearby restaurants, delivery apps, tiffin services, or the accommodation’s meal service (where provided). This constraint shapes the food budget and the food variety that associates experience during ILP.
For the complete food guide across all ILP cities: the food section in each city’s accommodation guide (linked from the TCS Accommodation Complete Guide).
Room Maintenance and Cleanliness
TCS-Provided Maintenance
The accommodation provider handles:
Room cleaning: Daily or alternate-day cleaning depending on the accommodation. The cleaning typically covers sweeping, mopping, and bathroom cleaning.
Bed sheet and linen changes: Once or twice per week depending on the accommodation.
Maintenance repairs: Plumbing, electrical, and furniture repairs are handled by the accommodation maintenance team. Report issues to the accommodation admin or through the designated complaint mechanism.
Associate Responsibilities
Associates are responsible for:
Daily tidiness: Keeping personal belongings organized, not leaving food waste in the room, and maintaining the room in a condition that does not create hygiene issues for the cleaning staff or for flatmates.
Not damaging property: Damages to furniture, walls, fixtures, or appliances are charged to the associate. This includes nail holes in walls, stains on furniture, broken fixtures, and any damage beyond normal wear and tear.
Bathroom hygiene: In shared bathrooms (four associates sharing one or two bathrooms), maintaining basic bathroom hygiene is both a policy requirement and a social necessity. The bathroom cleaning schedule (who cleans what, when) should be established with flatmates in the first two days.
No structural modifications: Do not rearrange heavy furniture, install hooks or shelves on walls, or make any modifications to the room structure without permission.
Room Inspections
Some accommodations conduct periodic room inspections (weekly or monthly) to check for:
Prohibited items (cooking appliances, alcohol, unauthorized electrical devices), damage to property, cleanliness standards, and general compliance with accommodation rules. These inspections are typically announced in advance but may occasionally be unannounced.
Electricity and Utility Policies
Electricity at TCS Accommodation
The electricity arrangement varies significantly across accommodations and directly impacts your monthly costs:
Electricity included in rent/deduction: At some accommodations, the TCS deduction covers all utilities including electricity. Associates at these accommodations can use AC, fans, and charge devices without worrying about electricity costs. This is the most financially predictable arrangement.
Electricity billed separately: At many accommodations, electricity is billed separately based on meter readings. This arrangement means that AC usage during summer months (which can consume 1.5 to 3 units per hour) significantly increases the monthly cost. During summer at hot cities (Gandhinagar, Nagpur, Indore, Chennai, Noida), the electricity bill for a room running AC for 8 to 12 hours daily can reach Rs. 1,500 to Rs. 3,500 per month. This cost is split between roommates in shared rooms.
Fair usage policies: Some accommodations have a “fair usage” electricity policy: a base amount of electricity is included in the rent, and usage above the base is billed separately. Understand this policy at check-in to avoid surprise charges.
The AC Rule
AC availability and usage policies vary:
AC-equipped rooms: Some rooms have AC; others do not. The allocation is typically first-come-first-served or based on batch assignment. During summer at hot cities, an AC room is a health necessity, not a luxury. If assigned a non-AC room during summer, request a room change through the ILP coordinator.
AC timing restrictions: Some accommodations restrict AC usage to specific hours (evening to morning, or a maximum number of hours per day). These restrictions exist to manage electricity costs and are enforced through meter monitoring or manual checks.
Personal AC units: Installing a personal AC unit in an accommodation room is not permitted.
Water Supply
Water supply policies vary by accommodation and city:
24/7 supply: Some accommodations have water tanks that provide continuous supply.
Scheduled supply: Others have municipal water supply at specific hours (typically morning and evening). Associates at these accommodations need to store water for use during non-supply hours.
Purified drinking water: RO purified drinking water is typically provided through common dispensers. Do not drink tap water or bathroom water at any TCS accommodation.
Hot water: Geysers (water heaters) are typically available in bathrooms. Some accommodations have central hot water systems. During winter at cold cities (Noida, Gandhinagar, Nagpur, Guwahati), hot water availability is important for comfortable mornings.
Photography and Recording Policy
On TCS Campus
Photography is strictly prohibited on TCS premises. This includes the training center, labs, common areas, and the campus grounds. The prohibition covers:
Photographs, videos, screenshots of TCS systems, and any recording of TCS intellectual property, training materials, or internal communications. Violation is a serious offense that can result in disciplinary action.
Exceptions: Official TCS photography (for company communications, events, or documentation) is conducted by authorized personnel only.
At the Accommodation
Photography at the accommodation for personal use (selfies, group photos with batch-mates, room photos for family) is generally permitted. However, photographs that show TCS-branded materials, ID cards, or any proprietary information should not be posted on social media.
Social Media Policy
Associates are advised to exercise discretion when posting about TCS or the ILP experience on social media. Do not post:
Photographs of the TCS campus interior, training materials, assessment questions, or any content that could be considered TCS intellectual property. General posts about the ILP experience (city photographs, food photos, batch group photos at external locations) are typically acceptable.
Laundry Rules
In-House Laundry Services
Some accommodations provide in-house laundry services (wash and iron) at fixed rates:
Infocity Studio Apartments (Gandhinagar): Rs. 10 per piece. Washing clothes in the hostel is restricted; the in-house laundry service is the expected method.
Other accommodations: Laundry services may be available within the complex or through nearby dhobi services at Rs. 5 to Rs. 12 per piece.
Self-Washing
At most accommodations (Vedika, Universal Ecogreens, and similar apartment-style housing), associates can hand-wash clothes in the bathroom using a bucket and detergent. Machine washing within the accommodation is generally not available (no washing machines provided).
Drying
Drying clothes is permitted on balconies, clotheslines, or indoor drying racks. At some accommodations, drying clothes on the balcony railing or in visible common areas is restricted for aesthetic reasons. Check the specific accommodation rules for drying locations.
Leave Policy During ILP
No Leave as Default
The default ILP policy is no leave. The training schedule is intensive, and absences directly affect assessment performance and continuity:
Casual leave: Generally not available during ILP. Emergency leave (one to two days) may be granted for genuine emergencies (family illness, death in the family) with approval from the ILP coordinator.
Sick leave: Available with medical documentation. If you are unwell, inform the ILP coordinator before the session starts. Medical certificates may be required for absences of two or more days. Extended illness (more than three to five days) may result in rescheduling.
Weekend leave for trips: Weekend trips (to Shillong from Guwahati, Ooty from Coimbatore, etc.) are generally permitted as long as you return by Sunday evening and are present for Monday sessions. Some centers (Guwahati in particular) have stricter weekend leave processes requiring advance application through the ILP portal.
Attendance Tracking
Attendance is tracked for every session, every day. Low attendance can affect your ILP rating, and persistent absence can trigger LAP (Learning Augmentation Program) or, in extreme cases, termination.
The ILP attendance requirement is typically 100% (with documented sick leave as the only accepted absence reason). Even being late to a session is documented and can affect the overall ILP evaluation.
The Accommodation Switching Process
Can You Change Your Accommodation?
In principle, TCS allows accommodation changes for valid reasons. In practice, the process is bureaucratic and changes are granted only for strong reasons:
Valid reasons for accommodation change: Medical conditions (a health issue that the current accommodation cannot support), safety concerns (documented, specific safety issues), accessibility needs (disability-related), and in rare cases, documented interpersonal conflicts with roommates that the ILP coordinator cannot resolve.
Not valid reasons: Preference for a different building, dislike of the room’s aesthetics, wanting to be closer to a friend in a different building, or general dissatisfaction with the accommodation quality.
The Process
Request an accommodation change through the ILP coordinator. The coordinator escalates to the accommodation admin team. If the reason is deemed valid and alternative accommodation is available, the change is processed. The timeline is typically several days to a week.
Room Changes Within the Same Building
Changing rooms within the same building (to be with a preferred roommate or to move to a better room) is possible but depends on availability and the accommodation admin’s willingness. These requests are handled informally through the building admin rather than through the TCS ILP coordinator.
The Complaint and Escalation Path
Level 1: Accommodation Admin
For day-to-day issues (room maintenance, cleaning quality, water supply, electrical problems, pest control), contact the accommodation admin team directly. This is the building manager, the security in-charge, or the designated admin contact provided during check-in.
Level 2: ILP Coordinator
If the accommodation admin does not resolve the issue within a reasonable timeframe, or if the issue is policy-related (rule disputes, safety concerns, harassment), escalate to the ILP coordinator. The ILP coordinator is the TCS representative responsible for the batch and has the authority to intervene with the accommodation provider.
Level 3: ILP Center Head
If the ILP coordinator cannot resolve the issue, escalate to the ILP center head (the senior TCS manager responsible for the ILP center). This level handles serious issues including safety concerns, harassment, and systemic accommodation failures.
Level 4: TCS HR
For issues that the ILP center cannot resolve, or for issues involving TCS policy violations by TCS staff, escalate to TCS HR. The HR contact information is provided during induction.
Documentation
For all escalations, document the issue with dates, descriptions, and any evidence (photographs of maintenance issues, written communications). Documented complaints carry more weight and are resolved more quickly than verbal complaints.
For the detailed complaint and escalation guide, see the companion article: TCS Accommodation Complaints - How to Escalate.
Transport and Commute Policies
TCS Bus/Shuttle Service
At residential ILP centers (Gandhinagar, Guwahati, and others where TCS provides accommodation away from the campus), TCS provides bus or shuttle service:
Fixed schedule. The bus departs at a fixed time in the morning (typically 7:30 to 8:30 a.m. depending on the center) and returns after the last session. Missing the morning bus means arranging your own transport (auto, cab, ride-hailing) at your own expense.
Designated stops. The bus picks up and drops off at designated stops (accommodation entrance, campus gate). The stops are fixed and cannot be modified for individual associates.
No deduction for bus service. The bus service is provided by TCS at no additional cost to the associate (it is included in the overall accommodation arrangement).
Bus behavior. Professional behavior is expected on the TCS bus. Loud music, disruptive conversations, and food consumption on the bus are discouraged at most centers.
Personal Vehicle Policy
Associates are permitted to use personal vehicles (two-wheelers, cars) for commuting to the TCS campus. Campus parking is available at most centers. Valid driving licenses and vehicle registration are required. Helmet usage for two-wheeler riders is mandatory (and a legal requirement). TCS does not provide fuel reimbursement for personal vehicle commuting during ILP.
Transport for Weekend Trips
Associates organize their own transport for weekend trips. Group cab bookings, bus tickets, and train reservations are the associate’s responsibility. TCS does not organize or subsidize weekend travel (though some batch-mates and local travel operators coordinate group trips informally).
Safety and Security Policies
Fire Safety
All TCS accommodations have fire safety requirements that associates must follow:
No open flames. Candles, incense sticks, and diyas (oil lamps) are prohibited in rooms due to fire risk. This applies even during festivals (Diwali, etc.). Use LED lights for decorative purposes instead of real flames.
Know the fire exit routes. At check-in, identify the fire exit routes from your room and floor. In apartment-style accommodation, the staircase is the fire exit (do not use elevators during a fire). In hostel-style accommodation, designated fire exits are marked.
Fire extinguisher locations. Note the location of the nearest fire extinguisher in the common area or corridor. While you are unlikely to need it, knowing the location reduces response time in an emergency.
Electrical safety. Do not overload power sockets with multiple adapters and devices. Do not leave chargers plugged in when not in use. Do not use electrical devices with frayed wires or damaged plugs. Electrical fires from overloaded sockets are a real risk in shared accommodation.
Security Infrastructure
TCS accommodations have security measures that vary by location:
Gate security and CCTV. All accommodations have gate security with visitor registration. Many have CCTV coverage in common areas (lobbies, corridors, parking areas). CCTV is not installed inside rooms.
Access control. Gated communities (Universal Ecogreens, Vedika) have controlled entry and exit. Building access may require ID cards or access keys in addition to room keys.
Valuables security. TCS accommodation does not provide safes or lockers in rooms (some hostel-style accommodations have common lockers). Secure your valuables (laptop, phone, documents, cash) using a padlock on your cupboard. Do not leave valuables visible in an unlocked room.
Personal Safety Guidelines
Lock your room when leaving. Even for short trips to the canteen or common area.
Do not share your room key with anyone other than your assigned roommate(s).
Report suspicious activity to the accommodation security or admin team immediately.
Keep emergency contacts saved on your phone. The accommodation admin number, the ILP coordinator number, the local police number (100), and the pan-India emergency number (112).
Avoid isolated areas after dark. Particularly at accommodations that are in developing areas or on the outskirts of the city. Use well-lit main routes for evening walks and commutes.
Check-In and Check-Out Rules
Check-In
Timing: Accommodation is typically available one to two days before the joining date. The exact availability is communicated in the pre-joining email.
Process: Report to the accommodation with your joining letter and ID. Complete the check-in register. Receive room keys and building access credentials. Inspect the room for existing damage and report any issues to the admin to avoid being charged at check-out.
Inventory check: Some accommodations provide a room inventory list (furniture, fixtures, appliances in the room). Sign the inventory only after verifying that all listed items are present and in the stated condition.
Check-Out
Timing: Check-out is expected within the timeline specified by the ILP coordinator after ILP completion (typically within two to four days after the final ILP session).
Process: Clear personal belongings. Return room keys and any provided items (mattress, linen, ID cards). Complete the check-out register. The accommodation admin inspects the room for damage. Any damage beyond normal wear and tear is charged to the associate’s salary.
Deposit refund: If a security deposit was collected at check-in, the refund process begins at check-out. Refund timelines vary (one to four weeks is typical).
City-Specific Rule Variations
Trivandrum
The strictest ILP center for rule enforcement. Notable Trivandrum-specific rules include: mandatory tie during specific sessions, strict bag checking at hostel entry (Peepul Park), food restrictions inside the Peepul Park hostel, and the most rigorous attendance and punctuality tracking among all ILP centers.
Gandhinagar (Gujarat)
The dry state policy adds a legal dimension to the alcohol prohibition. Gujarat Prohibition Act violations can result in criminal charges in addition to TCS disciplinary action. The Infocity studio apartments have the strictest guest and visitor policies in the TCS network due to the controlled-access nature of the township.
Guwahati
Weekend leave for trips (Shillong, Cherrapunji, Kaziranga) requires advance application through the ILP portal at some periods. The accommodation at Universal Ecogreens has a meal arrangement (Rs. 170/day) that is mandatory for residential associates.
Chennai
The large batch sizes at Chennai create more formalized accommodation management. Room allocation, maintenance requests, and complaint resolution follow structured processes due to the number of associates being managed.
Noida
The non-residential model at Noida means that most accommodation rules are governed by the PG or flat landlord rather than by TCS. TCS policies (dress code, campus rules) apply at the office, but the accommodation rules are set by the accommodation provider.
Rules for Specific Accommodation Types
Apartment-Style Accommodation (Vedika, Universal Ecogreens, etc.)
Shared flat responsibilities: Four to six associates share a flat. The common areas (living room, kitchen area, balconies) are shared responsibilities. Establish cleaning and maintenance norms with flatmates in the first two days.
Flat-level noise: Sound carries between rooms in apartment buildings. Maintain reasonable noise levels, especially after 10:00 p.m. Playing music, watching videos, or having loud conversations after curfew disturbs both flatmates and neighbors.
Hostel-Style Accommodation (Peepul Park, Executive Hostel at Trivandrum, etc.)
Stricter rules: Hostel-style accommodation typically has stricter rules than apartment-style: mandatory meal timings, stricter curfew enforcement, bag checking at entry, and more formal visitor registration.
Shared facilities: Bathrooms, dining halls, and recreation areas may be shared among a larger number of associates. The etiquette of shared facilities (queueing, cleanliness, timing) requires explicit attention.
Hotel-Style Accommodation
At some ILP centers, TCS accommodates associates in contracted hotels. Hotel-style accommodation has:
Higher comfort: Better furnishings, professional room service, and hotel amenities (gym, restaurant). Less community feel: The hotel environment is less conducive to the flat-mate bonding that apartment-style accommodation provides. Hotel rules apply: In addition to TCS rules, the hotel’s own policies (regarding noise, visitors, damage) apply.
Food-Related Policies
Meal Arrangements at Residential Accommodation
The food arrangement at TCS residential accommodation varies by city:
TCS-arranged meal service (Guwahati model): At some cities, TCS arranges a meal service at the accommodation. The cost (Rs. 170/day at Guwahati) is paid by the associate, typically in advance upon check-in. The meals include breakfast, lunch, and dinner. This is the most hassle-free food arrangement.
Campus canteen only (most cities): At many ILP cities, TCS provides canteen access at the training campus but does not arrange meals at the accommodation. Associates eat breakfast and dinner at their own expense (nearby restaurants, delivery apps, tiffin services).
No food arrangement (non-residential): At non-residential postings, associates manage all meals independently.
Food in Common Areas
Food consumption in rooms is generally permitted. Food waste management (disposing of leftover food, plates, containers) is the associate’s responsibility. Leaving food waste in rooms attracts pests (cockroaches, ants, rats) and creates hygiene issues that affect all residents of the flat or floor.
Do not store perishable food in rooms without a refrigerator. Cooked food spoils quickly in Indian temperatures and becomes a health hazard and a pest attractant.
Food Delivery to Accommodation
Swiggy, Zomato, and other food delivery services can deliver to TCS accommodation addresses at most cities. The delivery person may be required to leave the food at the gate (rather than delivering to the room) at accommodations with strict security protocols.
Associate Rights and Entitlements
What TCS Must Provide
As a residential ILP associate, you are entitled to:
A clean, furnished room with basic amenities (bed, mattress, bedding, cupboard, fan, bathroom access). The specific amenities vary by accommodation but the base standard is a livable, hygienic room.
Regular cleaning. The accommodation provider is required to maintain cleanliness through regular room cleaning and common area maintenance. If cleaning standards decline, this is a valid complaint to escalate.
Functional utilities. Working electricity, running water (including hot water where geysers are provided), and functioning bathroom fixtures. Non-functional utilities should be reported and repaired promptly.
Safe and secure premises. Gate security, controlled access, and a living environment that meets basic safety standards.
Transport to campus (where applicable). At residential centers where the accommodation is not within walking distance of the campus, TCS provides bus or shuttle service.
What You Can Legitimately Complain About
The following are valid complaints that warrant escalation through the complaint process:
Non-functional AC during summer at hot cities. This is a health concern, not just a comfort issue.
Persistent water supply failures. Irregular or insufficient water supply that affects daily hygiene.
Pest infestations. Cockroaches, bedbugs, rats, or other pest issues that the accommodation provider fails to address.
Security lapses. Non-functional CCTV, absent gate security, or unauthorized access to the accommodation.
Harassment by accommodation staff. Any form of harassment, verbal abuse, or discriminatory treatment by accommodation staff or security personnel.
Room damage or hazards. Electrical issues (exposed wiring, non-functional switches), structural concerns (cracks, water leakage), or plumbing failures that the accommodation provider does not repair.
What Is Not a Valid Complaint
These are aspects of the ILP accommodation that, while sometimes frustrating, are within the expected parameters and do not warrant formal escalation:
Room aesthetics. The paint color, the furniture design, the view from the window, and the general aesthetic quality of the accommodation are not complaint-worthy. TCS accommodation is functional, not luxurious.
Roommate preferences. Not being assigned your preferred roommate is not a valid complaint. TCS intentionally assigns roommates from different backgrounds to foster cross-cultural interaction.
Food quality at external restaurants. The quality of food at restaurants or canteens outside the accommodation is not within TCS’s control or responsibility.
City characteristics. The weather, the distance from home, the language barrier, and the general characteristics of the ILP city are not accommodation complaints.
The ILP Rating Impact of Accommodation Behavior
How Accommodation Behavior Affects Your ILP Rating
The ILP rating is the performance evaluation that determines your post-ILP project allocation priority and your initial career trajectory at TCS. While the rating is primarily based on technical assessment scores and training performance, the behavioral component includes:
Attendance and punctuality. Late arrivals to sessions (caused by oversleeping, missing the shuttle, or curfew-related issues) are documented and affect the behavioral rating.
Compliance with rules. Documented violations of accommodation rules (alcohol, cooking, curfew) are reported to the ILP coordinator and can negatively affect the behavioral evaluation.
Peer feedback. Some ILP centers collect peer feedback as part of the evaluation. Associates who create accommodation conflicts (noise, hygiene, rule violations) may receive negative peer assessments.
Professional conduct. The ILP evaluates whether associates demonstrate the professional conduct expected of TCS employees. Accommodation behavior (cleanliness, respect for shared spaces, compliance with rules) is considered part of professional conduct.
The Practical Implication
Associates who maintain clean rooms, follow the rules, contribute positively to the accommodation community, and manage their personal logistics (laundry, food, sleep) without creating issues for others or for administration are building the behavioral profile that supports a positive ILP rating. The ILP is not just a training program; it is a three-month evaluation of your readiness for professional work, and the accommodation behavior is part of that evaluation.
Frequently Asked Questions
Is the accommodation deduction negotiable?
No. The deduction amount is fixed by TCS for each accommodation and city. It is not negotiable at the individual associate level.
Can I stay with relatives instead of using TCS accommodation?
Only with explicit permission from the ILP coordinator, and even then, the HRA deduction continues. Permission is rarely granted without a strong reason.
What happens if I damage room furniture or fixtures?
The cost of repair or replacement is deducted from your salary. Document the room’s condition at check-in to avoid being charged for pre-existing damage.
Can I change my roommate?
Room changes are possible but depend on availability and the accommodation admin’s approval. Discuss the request with both the admin and your current roommate diplomatically.
Is there a curfew on weekends?
Most accommodations have extended weekend timings (11:00 p.m. to midnight). The specific timing varies by accommodation.
Can parents visit the accommodation?
Yes, during daytime hours with gate registration. Overnight stays for family members at TCS accommodation are not permitted.
What if the AC is not working in summer?
Report immediately to the accommodation admin. If not resolved within 24 hours, escalate to the ILP coordinator. AC failure during summer at cities like Gandhinagar, Nagpur, or Chennai is a health concern that warrants urgent resolution.
Can I use an electric kettle?
Officially prohibited. Widely tolerated at many accommodations for making tea and coffee. The risk is confiscation if the accommodation conducts a room inspection.
What if I lose my room key?
Report immediately to the accommodation admin. A duplicate key is provided, and a replacement charge may apply. Do not break into your own room.
Is Wi-Fi provided at the accommodation?
Varies by accommodation. Some provide Wi-Fi (quality varies). Your mobile data plan should be your primary internet connection.
Can I receive courier deliveries at the accommodation?
Yes, most accommodations accept courier deliveries. Online shopping orders can be delivered to the accommodation address.
What is the policy on pets?
Pets are not permitted at any TCS accommodation.
How do I report a maintenance issue?
Contact the accommodation admin directly (phone number provided at check-in). For urgent issues (water leak, electrical hazard, lock malfunction), report immediately. For non-urgent issues (paint, minor repairs), submit a written request.
Can I extend my stay at the accommodation after ILP?
Generally no. The accommodation is for the ILP duration. After ILP, you must arrange your own accommodation at your base branch. If there is a gap between ILP completion and base branch joining (typically two to four days), the accommodation may be available for the transition period.
What if I face harassment from the accommodation staff?
Report immediately to the ILP coordinator (Level 2 escalation). If the coordinator does not resolve the issue, escalate to the ILP center head (Level 3) and TCS HR (Level 4). Harassment is a serious issue that TCS is obligated to address.
How can I prepare for TCS NQT and ILP?
The TCS NQT Preparation Guide covers the recruitment assessment. The TCS ILP Preparation Guide covers the training curriculum.
What is the penalty for alcohol possession in Gujarat?
Gujarat Prohibition Act violations can result in fines and imprisonment under state law, in addition to TCS disciplinary action (which may include termination). This is a legal matter, not just a company policy. Do not test it.
Can I use a washing machine at the accommodation?
TCS accommodations do not typically provide washing machines. Hand-washing in the bathroom is permitted at most apartment-style accommodations. In-house laundry services handle the rest.
What happens during a room inspection?
The accommodation admin checks for prohibited items (cooking appliances, alcohol, unauthorized electrical devices), property damage, and general cleanliness. Inspections are typically announced but may occasionally be unannounced. Remove any prohibited items before inspections.
Is there a noise policy?
Yes. Most accommodations have quiet hours (typically after 10:00 or 10:30 p.m.). Playing loud music, watching TV at high volume, or having loud conversations after quiet hours is a violation that affects your flatmates and neighbors.
Can I negotiate the curfew timing?
No. The curfew is set by the accommodation provider in coordination with TCS. Individual negotiations are not possible. If you need to be out late for a valid reason, communicate with the gate security in advance.
What if my flatmate violates rules?
If your flatmate’s rule violations affect you (smoking in the room, alcohol in the flat, noise after curfew), first address the issue directly with the flatmate. If the behavior continues, report to the accommodation admin. If unresolved, escalate to the ILP coordinator. Do not let a flatmate’s violations create issues that affect your ILP experience or rating.
Are there rules about religious practices?
Small personal religious practices (prayer, meditation, keeping a small idol) are permitted in your personal space. Practices that involve smoke (incense, agarbatti) or open flames (diyas, candles) are prohibited due to fire safety. Practices that create noise or disrupt flatmates should be conducted at reasonable hours with flatmate consideration.
Where is the complete accommodation guide?
The TCS Accommodation Complete Guide covers every ILP city’s hostel setup, room details, food, transport, and comparisons.
The Post-ILP Transition Period
The Gap Between ILP and Base Branch
After ILP completion, associates have a transition period (typically two to four days) before reporting to their assigned base branch. During this period:
Accommodation availability. The TCS accommodation may be available for two to three days after ILP completion to allow time for packing, check-out, and travel to the base branch. Confirm the exact check-out deadline with the ILP coordinator during the final week of ILP.
No accommodation at the base branch. TCS does not provide accommodation at the base branch. You must arrange your own PG, hostel, or flat before reporting. Many associates use the final ILP weekend to visit their base branch city and search for accommodation.
Travel arrangements. TCS does not reimburse travel from the ILP city to the base branch. Plan and book your travel in advance (train, flight) to avoid last-minute expenses.
Leaving the ILP City
Return all TCS property. ID cards, library books, and any other TCS-issued items must be returned during the check-out process.
Settle all local accounts. Clear any pending payments to the accommodation (electricity, damage charges), local vendors (dhobi, tiffin service), and any shared expenses with flatmates.
Collect your deposit. If a security deposit was paid, initiate the refund process during check-out. Get a written acknowledgment of the refund request with the expected timeline.
Transfer your learnings. If incoming associates are arriving at the same accommodation, sharing your knowledge (best food stalls, reliable dhobi, trusted auto drivers, weekend trip contacts) is a valued gesture that helps the next batch settle in more smoothly. This informal knowledge transfer is one of the most useful traditions of TCS ILP accommodation.
Final Thoughts
The TCS ILP accommodation rules exist to maintain a safe, orderly, and professional living environment for thousands of associates across multiple cities. The rules are not arbitrary: the cooking prohibition prevents fires, the alcohol ban maintains order, the curfew ensures associates are rested for morning sessions, and the visitor restrictions protect security.
The associates who approach the rules with understanding rather than resentment, who recognize that the accommodation is a shared resource serving hundreds of people and not a personal apartment, and who invest their energy in the training and the relationships rather than in testing the boundaries of the rules, have the smoothest and most productive ILP experiences.
The rules are temporary. The ILP is three months. The skills, relationships, and professional foundation you build during those three months last for decades. Do not let a rule violation, however minor it seems, become the incident that disrupts your ILP, your rating, or your career trajectory. Pack well, follow the rules, focus on the training, explore the city, and carry the experience forward.
For city-specific accommodation details, start with the TCS Accommodation Complete Guide. For the packing checklist, read What to Pack for TCS ILP. For recruitment preparation, use the TCS NQT Preparation Guide. And remember: the first rule of TCS accommodation is that the rules exist for a reason. The second rule is that following them makes everything easier.
